Brand voice guide builder

Reverse-engineer a usable brand voice guide from your best existing writing, with traits, do/don't examples and a prompt block for AI tools.

You'll need: 3-10 samples of writing that sounds like you at your best

Fill in your details

Values are inserted into every prompt below. Nothing you type leaves your browser.

4 field(s) left — unfilled variables stay as {{placeholders}}.

  1. 1Analyse the samples

    Choose samples you'd be happy to see copied. Bad samples produce a bad guide.

    Analyse the voice in these writing samples from {{brand}}.
    Audience: {{audience}}

    Samples:
    {{samples}}

    Describe: sentence length and rhythm, vocabulary (simple or technical, words used often), formality, humour, how they address the reader, use of questions, how claims are made (bold or careful), and punctuation habits. Quote examples for each observation.
  2. 2Write the guide

    Traits work best as pairs ('confident, not arrogant') because the second half shows where the line is.

    Write a brand voice guide based on that analysis.

    Include:
    1. Voice in one sentence.
    2. Four traits written as "X, not Y", each with a short explanation, a "do" example and a "don't" example.
    3. Words and phrases we use; words we avoid. Also avoid: {{avoid}}
    4. How tone flexes by situation: marketing, support reply, error message, apology, social post (one example line each).
    5. Grammar and style choices (e.g. contractions, sentence case, Oxford comma).
    6. A 100-word "voice prompt block" for pasting into AI tools.
  3. 3Test it

    Ask a model to write a support reply and a product announcement using only the voice prompt block, then compare with your real samples. Tighten the guide where the output drifts.

Example input

Oatfield oat milk: five Instagram captions, two emails and the About page.

Example output

Voice: a friend who knows a lot about food and doesn't make you feel bad about it. Trait: Playful, not silly Do: "Yes, it froths. Yes, we checked. Many times." Don't: "OMG you guys, frothing heaven!!!" Voice prompt block: Write as Oatfield: warm, wry and plain-spoken. Short sentences. Contractions always...

Troubleshooting

  • Traits are bland ('friendly, professional'): ask for traits that a competitor could not claim.

Known limitations

  • A guide from a handful of samples reflects those samples; update it as the brand evolves.
