1Run the rewrite
List what must survive the rewrite: dates, amounts, the ask, any apology or commitment. That is what stops tone changes from changing meaning.
Rewrite the email below. Recipient: {{recipient}} Relationship and context: {{relationship}} Target tone: {{target_tone}} Must keep exactly (facts, numbers, the ask, commitments): {{must_keep}} Original email: {{original_email}} Give me three versions: A. Same length as the original B. Under 80 words C. Warmest version that still keeps the ask clear For each version, put the ask in the first two sentences. Then add a one-line note on any phrase in the original that could read as passive-aggressive, vague or overly apologetic, and how you handled it. Do not add new promises, discounts or deadlines.
Example input
Original: 'Hi Sam, sorry to chase again!! Just wondering if there's any update on the invoice? No worries if busy, but it's quite late now...'
Example output
B (under 80 words) Hi Sam, Invoice #4471 for £6,240 is now 45 days overdue. Could you confirm payment will reach us by 7 November? After that date the late fee in clause 8 of our agreement applies, which I'd much rather avoid for both of us. If something is holding it up on your side, tell me and I'll help sort it. Thanks, Jordan Note: "No worries if busy" undercut the deadline, so I removed it.
Troubleshooting
- Facts drift (wrong amount or date): put them in 'Must keep' exactly as they should appear.
- Every version sounds like corporate AI: paste a short email you wrote that you like and add 'Match this voice.'
Known limitations
- Cultural norms for directness vary; check with a colleague when writing across cultures or languages.
- Not suitable for legally sensitive correspondence without review.
